Who we are

Lets Tech Together is a UK not-for-profit organisation. This privacy policy applies to the Lets Tech Together Team Area — the internal web application used by our volunteers and co-founders to record and manage drop-in sessions.

What data we collect

We collect only the minimum information needed to operate this application:

  • Email address — used as your login identity and to identify who recorded a session.
  • Usage data — a log of login events (date, time, and outcome) and the session records you create or edit within the application.

We do not collect the names, contact details, or any other personally identifiable information of the people who attend our drop-in sessions. Attendee data is recorded in anonymous, aggregate form only (for example, counts by age range or gender).

Why we collect it and our lawful basis

Under UK GDPR, we process your data on the basis of legitimate interests: specifically, the need to operate a secure internal system, attribute session records to the correct volunteer, and maintain an audit trail for safeguarding and reporting purposes.

How long we keep it

We retain your account and associated session records for as long as you are an active volunteer or co-founder with Lets Tech Together. If your account is closed, your email address and login history will be deleted within 12 months, except where we are required to retain records for legal or regulatory purposes.

Who we share it with

We do not sell, rent, or share your personal data with third parties for marketing purposes. Your data is stored on a secured server and is accessible only to authorised co-founders of Lets Tech Together. We use Microsoft for admin authentication; Microsoft's privacy policy applies to that authentication step.

Your rights

Under UK GDPR you have the right to:

  • Access — request a copy of the personal data we hold about you.
  • Rectification — ask us to correct inaccurate data.
  • Erasure — ask us to delete your data, subject to any legal retention obligations.
  • Restriction — ask us to limit how we use your data while a request is being resolved.
  • Objection — object to processing based on legitimate interests.

Complaints

If you are unhappy with how we have handled your data, you have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.
